DRIVING POLICY
INTRODUCTION Stokers is committed to reducing the risk of work-related road traffic crashes and collisions. As an employer, Stokers also recognises its duty to ensure the wellbeing of all employees as far as is reasonably possible. This includes work-related driving activities. POLICY The rules set out in this policy apply to all employees who drive in connection with their employment whether they use their own vehicle, are provided with a fleet vehicle or a vehicle hired by the business. This policy does not apply to agency workers, consultants or self-employed contractors. It is a policy document and therefore does not form part of any employee’s contract of employment. Stokers may amend this policy at any time. GENERAL PRINCIPLES All vehicles Stokers encourages use of alternative modes of communication or transport where this is practical. Road journeys by motor vehicle will only be carried out when they are absolutely necessary. Stokers also encourages vehicle sharing where practical. Stokers will ensure that necessary business journeys are scheduled to a realistic timetable and are planned to take into account the essential need for adequate rest periods. Any employee who feels that their timetable/schedule is unrealistic or unsuitable must voice their concerns with their manager as soon as possible. Employees should monitor weather conditions and reschedule appointments if conditions become too dangerous to travel for the performance of their duties. All employees driving for the performance of their duties will have their driving documents checked regularly to ensure they are properly licensed. All employees driving for the performance of their duties must ensure journeys are planned with logical routes in mind from an environmental, time and cost saving perspective. All employees driving for the performance of their duties must inform their manager of any imposed or pending driving penalties or convictions within 5 (five) working days. These will be dealt with on a case by case basis. All employees are required to report any road safety concerns that they have within a reasonable period of time.
Seat belts must be worn at all times during business journeys, including by the employee’s passengers (if applicable). Vehicle provided by Stokers Stokers will ensure that, when choosing vehicles for employees, the vehicles are suitable for their intended purpose and importance is placed on safety features. Stokers will ensure that all vehicles provided to employees are regularly inspected and maintained using, at least, the manufacturer’s recommended service schedules (and if applicable, in accordance with operator licence requirements). Employees must report any defect immediately after it is found. All reported defects will be dealt with promptly. Any vehicle with a serious defect making it unsafe for employees and/or members of the public will be taken off the road immediately until a repair has been carried out. Employees are not permitted to smoke or use E-cigarettes within Company vehicles. All employees driving for the performance of their duties must report all crashes and collisions without delay, whether or not the accident occurs during the employee’s normal working hours. Own vehicle Any employees driving their own vehicle for the purposes of carrying out Stokers’ business will be required to maintain and present their vehicle registration document, insurance certificate and MOT certificate (if applicable) on a regular basis. Employees should ensure that their vehicle is insured for business use.
Use of mobile phones, etc. All vehicles It is illegal to use a mobile phone whilst driving.
A hands free facility should only be used by drivers when it is absolutely necessary. Drivers may be prosecuted for using a hands free mobile phone while driving. Voicemails, text messages and emails (whether on a smart phone or other device) should only be picked up and responded to by drivers when it is safe to do so. The vehicle should be parked safely at such times. Any driver failing to adhere to the above standards will be subject to disciplinary proceedings under the Disciplinary Policy and Procedure.
